Ivy Rehab is an outpatient physical therapy company located in White Plains, NY. Founded in 2003, the company is majority owned by a highly reputable private equity firm and has partnered with this firm to develop an aggressive growth plan to be executed over the next 3-5 years. 

We operate over 130 clinics in 10 states: New Jersey, New York, Connecticut, Pennsylvania, Illinois, Indiana, Michigan, Virginia, North Carolina, and South Carolina. 

Position Summary
Our Human Resources team is expanding and we are seeking a driven, detail-oriented Payroll Specialist to join our fast-paced and fulfilling environment at our corporate headquarters in White Plains, NY. This role will be the primary point of contact for our employees and will not only handle the day-to-day payroll questions, but also have the opportunity to look at the big picture and work strategically. Responsibilities include:
  • Responsible for bi-weekly payroll processing for 1,000+ employees.
  • Enter and verify payroll control sheet data into each applicable payroll run and performs payroll entries such as deductions and refunds.
  • Understanding of the Tax withholding requirements for multi-state and local taxes and set up the taxes for employees based on their location.
  • Perform routine audits and process adjustment entries (year-to-date taxes, taxable wages, earnings and deductions) on employee records.
  • Accurately audit timesheets to ensure wages and benefits are properly processed.
  • Manage and maintain policy assignments and balances (PTO, FMLA, STDI, etc.).
  • Research, analyze, and resolve all payroll discrepancies, escalating up to management as needed.
  • Continually monitor all employee accounts and check for accuracy.
  • Ensure accurate taxation and garnishment is applied to each employee account.
  • Analyze and recommend new approaches, policies, and procedures that will result in continuous improvements in efficiency of department and services performed.
  • Assist with HRIS system updates and changes, including benefit admin.
  • Remain in constant communication with teammates and management.
  • Communicate with HR teams to make necessary changes/updates to employee accounts.
  • Remain in compliance with all legal and institutional requirements, at all times.
  • Demonstrate respect for client privacy.
  • Respond to employee questions in a timely manner.
  • Bachelor's degree
  • 5 years’ experience performing Payroll functions – time entry, auditing, payroll processing
  • Significant experience working in multi-state payroll is a plus
  • Excellent computer skills, including ADP WFN, Microsoft Office and Excel
  • Solid working knowledge of tax code
  • Exceptional communication skills, both written and verbal
  • Aptitude for numbers and exceptional commitment to accuracy
  • Team-player with excellent interpersonal skills
  • Outstanding problem solving and analytical thinking skills
  • Attention to detail and ability to prioritize tasks
  • Multi-state payroll is a plus
  • Ability to maintain confidentiality
